THE DIALED IN JOURNAL · RECORDKEEPING

A monthly routine that makes tax season easier.

You do not need a perfect spreadsheet to start getting organized. You need a repeatable habit and a place for the information your preparer will ask about.

1. Keep the accounts clear.

Keep business records identifiable and separate from personal spending. If a transaction needs explanation, add that context while you remember it.

2. Gather income records.

Save invoices, payment-platform statements, deposit details, and your own income log. Keep enough detail to reconcile amounts and explain differences rather than guessing at filing time.

3. Keep the story behind each expense.

A bank transaction alone may not explain the business purpose. Keep the receipt and a short description. Ask your preparer how to handle items used for both business and personal activities.

4. Reconcile monthly.

Compare your records with statements. Look for missing transactions, duplicates, and items you cannot explain. Fixing a few items every month is easier than reconstructing a year.

5. Save the special items.

Equipment purchases, financing, vehicle use, contractor payments, and estimated payments need attention. Keep their supporting records in a separate folder for review.

6. Write down your questions.

Use a running list instead of relying on memory. Your business structure, reporting obligations, and deductible expenses depend on your facts. A conversation with your preparer is part of getting it right.
